Towards growth with Koho PSA
Riku Salomaa, the entrepreneur behind Accotilit Oy, wanted to find a tool that’d improve his accounting firm’s time-hungry processes. There was a need to make invoicing easier all the way from work time entries, as their previous operating model took a lot of work and resources. The aim of the system renewal was to further their controlled business growth, which meant having proper and scalable tracking tools was crucial. Riku Salomaa estimates, that combining Koho PSA with their accounting software has halved the time used for invoicing processes within 6 months. “At accounting firms every month is different. During the learning phase we spent even more time than before. Now we are definitely on the winning side”, states Salomaa.
The timer system that was in use at Accotilit before was seen as work-heavy and didn’t produce usable information to help their functions. Before this, we didn’t even recognize the need for a PSA”, ponders Salomaa.
According to Salomaa, the invoices produced in Koho PSA are informative and clear. It’s easy for customers to understand the basis. While deploying Koho PSA, Accotilit acquired a new financial management system, Procountor, which works well with Koho PSA. Fist the invoice is created in Koho PSA, after which it’s sent to the customer and electric ledger through Procountor. “The functioning integration between our financial management system and Koho PSA was one of the reasons we chose Koho PSA”, says Salomaa.
Smooth deployment is praised by the personnel
While all the accounting work tools of Accotilit were renewed at once, their employees have taken the changes only positively. The smoothness of the deployment process has a significant effect on how well new tools are received. Kalle Raitio, Koho PSA’s project manager, describes the process with Accotilit as a successful one. “The collaboration with Accotilit has always been well-functioning and interactive. We hare happy with the reception and the journey we’ve started with Accotilit. It is also our benefit to have a customer that is active and willing to ask for advice. This has happened with Accotilit”, states Raitio.
Koho PSA’s deployment was done through remote trainings and was praised by Accotilit. “Kalle’s service-mindedness has been exceptional. His quick, calm, and friendly way of communicating has created a strong sense that we matter to Koho PSA and that they know what they’re doing. The deployment process was all around handled smartly and cost-effectively”, says Salomaa.
Koho PSA’s deployment is not just a one-time event
According to Raitio, the fact that the deployment is done remotely does come as a surprise for customers from time to time. Nevertheless, this remote service benefits all, as the costs stay low and service fast. “We can give full points for the deployment, both to Koho PSA and Kalle Raitio who was in charge of it. The process has been exceptionally smooth, and the change has had a positive impact on all our business functions”, states Salomaa.
Deploying Koho PSA is not just a training that happens at the start of the collaboration, but the work continues throughout the customership. With Accotilit, the deployment continued with 15min long “masterclasses” adjoined with their morning meetings. During those Raitio was able to answer any questions that had arisen about using Koho PSA.
“This way of working suited us well and benefited the assimilation of this new software. Our experience with Koho PSA’s customer service is very positive. We feel that no matter how stupid our questions are, we still get friendly and valid answers. The calmness and clarity of Raitio’s character has brought a positive spirit in the midst of change, and we have avoided resistance. Timer function is the most beneficial tool for daily accounting work
Accotilit sees Koho PSA as a versatile accounting work tool that promotes work and has many great features. The timer feature gathers a lot of praise and is in active use at Accotilit. Salomaa lists benefits acquired from Koho PSA: “This PSA has especially helped with effective time use. We have also improved time tracking for billable hours. In addition, workload is easier to divide evenly now. Our invoicing processes too have become more efficient with the use of Koho PSA”.
Familiarizing with Koho PSA’s versatile features
Koho PSA takes the shape of many different tools. It is only up to the customer, what they need or want to get out of it. Salomaa sees this as something to improve. “Especially when learning to use a new system, many great features may go unnoticed. In the beginning, all focus is on understanding only the most essential functions. Once a function is needed only once a month, for example, it’s more challenging to learn than those that are used daily. Continuous communication with Koho alleviates these kinds of situations. Nevertheless, preserving usability and clarity presents a challenge for PSAs such as Koho.”

While there’s a lot to learn and multiplying new features, Koho PSA’s flexibility gets praise. “From the moment we acquired Koho PSA, I appreciated the fact that we didn’t have to adopt a highly structured system. We can implement new features as needed”, says Salomaa.

This kind of information makes a great base for sales work. “Thanks to Koho PSA, calculating tenders has become more data-driven and assertive. In Koho PSA, we can clearly see the time taken for similar customer work. We can also compare the number of transfers and receipts involved. You can found tenders on this kind of information. The tenders that are based on empirical material are also easy to justify for customers”, states Salomaa.
