Rantalainen Group is a leading expert organization in financial management and payroll administration services in Finland, supporting the operations of over 25,000 client companies across the Nordic countries. The history of collaboration between Rantalainen and Koho dates back to 2015 when Rantalainen was searching for a new PSA system and decided to explore the offerings of Finnish company Koho Sales.

At that time, Koho was still in its startup phase, but its potential already convinced Rantalainen. After about six months of discussions, Koho PSA was implemented in Rantalainen’s first offices in the spring of 2016. Rantalainen quickly noticed the benefits of Koho PSA for their business, as the automation and streamlining of billing freed up an entire workday per month for accountants to dedicate to client work.

Key features of Koho PSA for Rantalainen

According to M&A Director Kimmo Martikainen, significant factors in choosing Koho PSA were its versatile features, many of which are still in use. For instance, work orders that facilitate the management of recurring client tasks are popular among managers, accountants, and payroll specialists. Koho PSA enables the separate measurement of actual working hours and the time spent on client work, which was especially important for tracking working hours and occupational safety inspections.

Additionally, Koho PSA’s resource management tool is one of its most essential features. This tool helps balance the workload of payroll specialists during peak periods, ensuring that the workload remains manageable and employees can sustain their well-being.

“Regarding peak periods, we can organize work so that if a payroll specialist has a peak workload in a particular week, that peak can be cut and distributed elsewhere. In this matter, Koho PSA is an excellent tool,” clarifies Kimmo Martikainen.

Easy implementation and usability

Koho PSA has proven to be very easy to implement and use in everyday work. Rantalainen has 70 offices in Finland, some of which are Swedish-speaking and some Finnish-speaking, in addition to having business operations in Sweden. Koho PSA supports both language versions, and a new office can quickly adopt it without major IT arrangements. The centralized updatability of the system has also been an important feature for all offices.

Koho PSA is centrally Integrated into daily Routines

At Rantalainen, Koho PSA plays a very central role in daily operations. All client information is in Koho PSA, and billing data is generated there before being transferred to the accounting system. Vacations and other leaves are also recorded through Koho PSA and transferred to the payroll system. Therefore, Koho PSA combines all the information related to organizing and executing work.

Koho PSA includes the entire process from quotation to contract, task management, and invoicing, which is generated automatically. Information entered into the system once is immediately available in customer, contract, and billing records. Data is easy to modify and maintain, and you can view, for example, incomplete and invoiced work or the monthly value of contracts at a glance.

It is estimated that part of the billing for expert companies often gets lost because employees either hesitate or forget to bill for all the client work they do. With Koho PSA, all work phases end up on the invoice because the system tells the employee what and when they need to do for each client. This positively impacts both the company’s cash flow and customer satisfaction, as tasks are assuredly completed on time.

Koho PSA’s role in Rantalainen Group’s future

Rantalainen sees Koho PSA as their most important system, particularly for operational management. Koho PSA has proven to be a very effective entity that supports Rantalainen’s growth and development in many ways.

About ten years ago, sales work in accounting firms was still traditionally responding to requests for quotations, and accounting firms had not separately considered or developed their sales processes before major industry players like Rantalainen. Koho PSA also enabled Rantalainen to change its business model when the entire group transitioned to fixed monthly prices requested by clients with the new PSA system.

Martikainen states that in the future, they aim to expand Koho PSA to Sweden and Norway through potential accounting firm acquisitions. According to his estimates, Koho could first expand to Sweden, as the system already has a Swedish language version, and Koho’s customer service includes Swedish-speaking expertise.
